Terms & Conditions
Please read these terms carefully before booking. By paying a deposit or collecting equipment from RD Capital Rentals, you agree to the terms below.
Last updated: August 2026
Please note: this page is a general template written to give customers clear, plain-English terms — it is not legal advice. RD Capital Rentals should have it reviewed by a qualified professional before relying on it as a binding legal document.
1. Booking & Payment
- A booking is confirmed once a deposit or full payment is received and RD Capital Rentals confirms availability in writing (text or message).
- Full payment for the hire fee is due at pickup unless otherwise agreed.
- A valid photo ID and current home address are required at the time of pickup, for security purposes only.
- Bookings are for the agreed hire period only. Extensions must be requested and approved in advance.
2. Cancellation & Rescheduling Policy
- 48 hours or more before pickup: Full refund of any deposit or payment made.
- Less than 48 hours before pickup: No refund, as the equipment has been reserved exclusively for your event and turned away from other customers.
- No-shows: If you do not attend your scheduled pickup and haven't notified us, no refund will be issued.
- Rescheduling: One free date change is available per booking if requested 48 hours or more in advance, subject to equipment availability. Reschedule requests inside 48 hours will be treated as a cancellation under clause 2.2.
- Where a cancellation is required due to circumstances outside your control (e.g. severe weather, illness), we'll always try to work with you on a fair outcome — get in touch and we'll do our best to help.
3. Refundable Bond & Damage
- A $200 refundable bond is required on every booking, paid at pickup.
- The bond is refunded in full once the equipment is returned on time and inspected as being in the same condition it left in, fair wear and tear excepted.
- Where damage, loss, or excessive cleaning is required, the reasonable cost will be deducted from the bond. If repair or replacement costs exceed the bond amount, the hirer is responsible for the difference.
- The bond does not cover theft or loss of equipment — the hirer remains fully responsible for the replacement cost in these cases.
4. Optional Protection Plan ($39)
For an additional $39, added before pickup, hirers can reduce their liability for accidental damage from 100% to 25% of the repair or replacement cost.
- Covered: accidental damage from minor drops, knocks, or issues arising during normal, intended use.
- Not covered: theft or loss of equipment, intentional damage or misuse, damage from water, fire or extreme environments, and late return fees.
- The Protection Plan must be purchased before the event or pickup and is non-refundable.
- The bond is still held in full under all conditions — if damage occurs, the hirer pays the bond plus 25% of any repair or replacement cost above it, up to the total invoiced amount.
Example: equipment is damaged and costs $800 to repair. Without the plan, the hirer pays $800. With the plan, the hirer pays $200.
5. Equipment Use & Care
- Equipment is not waterproof and must be kept away from rain, pools, or other direct water exposure at all times.
- Equipment must only be used for its intended purpose and operated in a safe, reasonable manner.
- The hirer is responsible for the equipment for the full duration of the hire period, including during transport.
- Smoke machines and lighting effects should be used in well-ventilated areas and in line with any venue restrictions.
6. Delivery
- Delivery is available within approximately 15km of Glen Waverley, VIC, for an additional fee.
- Delivery outside this radius may be available on request — contact us for a quote.
- Someone must be present to receive and sign for delivered equipment at the agreed time.
7. Liability
- To the maximum extent permitted by law, RD Capital Rentals is not liable for any indirect or consequential loss, injury, or damage arising from the use of hired equipment.
- The hirer agrees to use all equipment at their own risk and to ensure it is set up and operated safely, including keeping cabling clear of walkways and equipment stable and secure.
- Nothing in these terms limits any right or remedy the hirer has under the Australian Consumer Law that cannot lawfully be excluded — see Section 8 below.
8. Your Rights Under Australian Consumer Law
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. You are entitled to a replacement or refund for a major failure of our services, and compensation for any other reasonably foreseeable loss or damage. You are also entitled to have services re-supplied or refunded if they fail to be provided with due care and skill.
Nothing in these Terms & Conditions restricts, limits, or modifies these statutory rights. If any clause in this agreement is inconsistent with a consumer guarantee under the Australian Consumer Law, the consumer guarantee will prevail.
